Board Meeting Minutes

January 14th, 2025

The regular monthly meeting of the Switzerland County Public Library Board of Trustees was held Tuesday, January 14th, 2025 at 3:35 pm in the meeting room of the library. Attending were Mary Jane Rogers, Diane Sigmon, Michelle Hicks, Norman Miller, Don Tolliver, Sharon Deck, Diana Barry, Heather Peelman, and Emily Fox.

Barry made a motion to approve the minutes of the previous board meeting, seconded by Tolliver and passed unanimously. Reports of library activity and technology activity were shared. Overall, circulation was down slightly from 2023, mostly in the children’s and magazines. SCPL gained more patrons than were lost. Grinchmas was held at the library for the fourth year and 84 people attended.

Bills and claims were presented. Deck made a motion to approve the claims, seconded by Barry and passed unanimously.

New Business

The Internal Controls Policy was reviewed. Barry confirmed that Peelman is the only person authorized to sign checks and that the director uses a signature stamp when Peelman is unavailable. No changes were made.

The Pest Policy was reviewed. Barry questioned a section about patrons affected by pests returning items in bags to the front desk and how they were supposed to know that. No clear resolution could be made, but Fox did say the policy was available on the website. No changes were made. Fox also stated she would be calling Ridge Runner Pest Solutions in the near future since they have not done a routine treatment and inspection in a while.

Fox proposed moving $20,000 from the Operating Fund to the Rainy Day fund in order to begin saving for HVAC replacement. This amount is slightly less than what was leftover from the 2024 budget. Discussion was held. Tolliver motioned to move the money, seconded by Sigmon and passed unanimously.

The library will be closed on Monday, January 20th for Martin Luther King Jr. Day.

Fox announced she and her partner, Richard, got engaged just before the holidays and will get married later this year.

With no further business, the meeting adjourned at 4:00 p.m.
