Meeting Room Policy
The Switzerland County Public Library has a meeting room available for use by the public, which can seat approximately 30 people. The primary purpose of the meeting room is to accommodate organized community groups. Meetings may be open to the public or limited to members of the group. The room may be used without charge by groups from the library service area holding meetings of a civic, cultural or educational nature.
The use of the library building by groups which are profit making, charge admission, wish to hold worship services, wish to use tobacco, or are exclusive on the basis of race, color, or creed, shall not be permitted. No buying or selling of services except in support of the library can be allowed.
The Library Board is the sole arbitrator of any questions as to which organizations will meet on its property. Granting the use of the meeting room does not imply approval or endorsement by the library of the group, meeting or ideas presented.
The library assumes no responsibility for the organizational or personal belongings of those conducting or attending meetings. No provisions can be made for the storage of equipment to be used by regular users of the public meeting room. No outside group may use the meeting room more than once each month without the specific consent of the Library Board. Library functions and college classes will have precedence.
No alcoholic beverages or use of tobacco are permitted in the library building. Each organization assumes the full responsibility for any damages to library property incurred from use of the meeting room. Abuse of the facilities will be sufficient cause to deny further use.
Groups who bring children to meetings will be responsible for them at all times. Children who create a disturbance will be asked to stay in the meeting room with their parents. Children who continue to disrupt or who are destructive to library property will not be allowed to attend further meetings. Children’s groups must have an adult reserve the room and be present for the entire length of time the meeting room is in use.
Applications for meeting room use must be made in person through the library office staff. Advance notice of at least 24 hours to schedule or cancel a meeting is requested. Meetings cannot be scheduled on days that the library is closed. Meetings must be held during regular library hours, and must conclude 15 minutes prior to library closing. Meetings will not be allowed to continue past regular library operating hours unless a member of the regular library staff or a current library board member will be present at the meeting.
AGREEMENT: I, the undersigned, as a responsible representative of the organization making the application for the meeting room use, do agree to abide by these rules and policies as stated above.
