Board Meeting Minutes

May 11, 2021

The regular monthly meeting of the Switzerland County Public Library Board of Trustees was held Tuesday, May 11, 2021 at 3:30 pm in the meeting room of the library. Attending were Debbie Margison, Stacy Streett, Mary Jane Rogers, Diana Barry, Sharon Deck, Bruce Williams, Emily Fox, and Heather Peelman. Not attending was Allan Bear.

Margison made a motion to approve the minutes of the previous board meeting, seconded by Rogers and passed unanimously. Reports of library activity and technology activity were shared. Now that the library does not charge fines and has limited charges for copies and prints, more people are leaving donations for the gift fund.

Bills and claims were presented. Deck made a motion to approve the claims, seconded by Barry and passed unanimously.

Old Business

Fox handed out a spreadsheet with health insurance estimates given by Kasper Insurance in Madison. Barry asked how the library plans to handle employees with spouses or dependents and Fox said that many libraries in the area offer to pay a large majority of the employee’s insurance and the employee are responsible for paying all fees for any dependents, so that is probably what the library will do.

Fox said she has not been able to look for landscapers yet, but said that she planned to seal the parking lot this year. She will be in contact with Bear, since the library usually partners with the funeral home on that. Fox asked if anyone knew of anyone who could seal the lot. Williams said there is someone he knows from the Versailles area that did the school lot last year. He could not remember the name and Fox said she would look into it. Fox also mentioned wanting to rent a power washer to wash the sign in the southeast corner of the yard. Margison volunteered to let the library use hers instead of renting one.

New Business

The public records policy and public comments policy were reviewed. No changes were made. Barry asked if the library advertises the board meetings and Fox said that it is listed on the events calendar on the library’s website and is somewhere on the state’s website. Agendas are posted on the door approximately 3 business days before the meeting.

Fox reported that the community yard sale will be on June 4th and 5th this year, which is earlier than in years past. Usually the library holds their annual book sale during that time, but since June 5th is the kickoff for summer reading and staff will be limited that week, Fox proposed to push the book sale until the fall. Peelman said it would be helpful to know a date so patrons who ask can be notified.

Peelman gave an update on summer reading. The youth program received a $1600 grant from the Vevay Switzerland County Foundation and the adult program received $1000 from the Community Foundation. Program dates are set and all performers and large-scale events are booked. Since there are still some COVID restrictions, there will only be three larger events, but hopefully next year the library can book more.

Streett proposed giving a gift to past board member Denise Crawford since she did not receive anything for her service. The consensus was yes and Fox said she would get ideas from other directors at her meeting on Friday. The gift will be purchased with funds donated by board members and staff.

With no further business, the meeting adjourned at 4 p.m.
