Board Meeting Minutes
October 8, 2019
The regular monthly meeting of the Switzerland County Public Library Board of Trustees was held Tuesday, October 8, 2019 at 3:30 pm in the meeting room of the library. Attending were Debbie Margison, Bruce Williams, Denise Crawford, Mary Jane Rogers, and Emily Fox. Not attending were Allan Bear, Sharon Deck, and Stacy Streett.
Crawford made a motion to approve the minutes of the September meeting, seconded by Margison and passed unanimously. Reports of library activity and technology activity were shared. Fox shared that circulation was slightly higher than last September and that overall circulation is almost 5000 more than the same time last year. She reported that Local Historian Barry Brown attended a genealogy conference in Plainfield last month. She reported that she, the Adult Services Coordinator, and Youth Services Coordinator are working together to come up with a marketing plan to promote new programs. All employees received nametags at the September staff meeting. Fox also reminded the board about the Boo-rific magic show that is on October 30th and that Food for Fines will run from October 15th to November 15th.
Bills and claims were presented. The check reconciliation and open checks were not shared this month, but will be shared next month. Crawford made a motion to approve the claims, seconded by Williams and passed.
Time for Public Comments
Fox stated that she had been in contact with Errol Judy about fixing the sidewalk as well as washing the upper windows of the building and dusting the lights above the circulation area. He said that he has been busy so has not had time to give an estimate, but is still interested and will give it soon. She also said that she had contacted a couple of businesses about sealing and striping the parking lot and that Miller and Wells would be out soon to give a price. Crawford mentioned that it would probably be best to continue contacting them since the weather will soon be getting colder.
Fox mentioned there have been some complaints from patrons and staff about the new LED bulbs seeming too dim around the computers and circulation desk. She said she was looking into some solutions.
The 2020 budget was presented for adoption. Crawford motioned to adopt the budget, seconded by Margison and passed unanimously.
The Circulation policy was reviewed. Language was added to address auto-renewal, the mailing of notices, and changes to the materials that are allowed to transit between Evergreen libraries. Williams motioned to accept the changes, seconded by Rogers, and passed unanimously.
Fox updated the board about getting a laptop for the meeting room. She said that during the director’s roundtable, she visited the Galena Digital Branch of the Floyd County Library, which was designed primarily for technology usage. She contacted the director to get their policies on in-house electronics check out but the director has not had time to send the policies yet.
Fox mentioned the library would be closed on October 14th for Columbus Day and that she, Adult Services Coordinator Samantha Morgan and Youth Services Coordinator Heather Peelman will be attending the ILF Conference on November 3rd-5th. Crawford asked if that was the same conference we received a grant for and Fox said yes. Fox will also be attending the OKI Children’s Literature Conference on November 2nd and will be taking vacation from November 13th-15th.
Barry Brown’s 70th birthday is Friday but he is taking vacation that day. Staff will be celebrating on Thursday, October 10th if any board members would like to wish him a happy birthday or send a card.
With no further business, the meeting was adjourned at 4:00.
