November 2017 minutes

The regular monthly meeting of the Switzerland County Public Library Board of Trustees was held Tuesday, November 14, 2017 at 3:30 pm in the meeting room of the library. Attending were Allan Bear, Wanda Benzing, Diana Johnson, Mary Jane Rogers, and Shannon Phipps.  Absent were Denise Crawford, Sharon Deck and Bruce Williams.

Benzing made a motion to approve the minutes of the October meeting with the correction that the November 14th meeting would not be the adoption of the 2018 budget, seconded by Bear and passed. Reports of library activity and technology activity were shared. Circulation was up again in October although library visits were lower. A large amount of materials and fines were recovered through the collection service. Bank reconciliation statements and the receipt listing were reviewed.

Bills and claims were presented. Bear made a motion to approve the claims, seconded by Benzing and passed.

Old Business

The director reported that the School Board is scheduled to make an appointment to the library board at their meeting on November 20th. The County Council and Commissioners have been informed that they have appointments coming up in January and February. Election of officers will be held in January but if some members are not reappointed, new officers may be needed later in the year.

The 2018 budget was submitted on October 18th. Shannon has been covering a lot of hours while Heather Peelman is on medical leave and may hire a substitute clerk in January.

New Business

Shannon purchased an office chair for the front desk from Staples online and used reward points earned from the library’s American Express card to save $95.08. She told the Board that she have had approval from them first but did not realize she had used the points until the transaction was completed. Hours for the Christmas/New Year’s holiday were reviewed.

The director presented a form that she wants employees to use when requesting time off. Currently, requests are written on a large calendar but a dated form will help decide who requested off first if too many staff members are requesting the same day off.

Phipps will be attending training for our accounting software on November 29th in Indianapolis and will be taking leave on November 15th, 21st, 22nd; December 14th and 15th.

The next meeting will be December 12th at 3:30 pm.

With no further business, Johnson moved to adjourn the meeting at 4:00. Motion seconded by Rogers and passed.
