Board Meeting Minutes

May 10, 2016

The regular monthly meeting of the Switzerland County Public Library was held Tuesday, May 10, 2016 at 3:30 pm in the meeting room of the library. Attending were, Denise Crawford, Sharon Deck, Diana Johnson, Mary Jane Rogers, Bruce Williams, and Shannon Phipps. Not present were Allan Bear and Wanda Benzing.

Crawford made a motion to accept the minutes of the April meeting, seconded by Rogers and passed. Reports of library activity and technology activity were shared. Computer use was up again. Circulation, especially of DVDs was down which usually occurs when the weather gets nicer. A hard drive was replaced in one of the public computers. Three staff computers are being replaced and the wireless printing is being set up this month. The other 3 staff computers will be replaced later in the year. Bank reconciliation statements and the receipt listing were reviewed.

Bills and claims were presented. Deck made a motion to approve the claims, seconded by Johnson and passed.

There were none.

Old Business

The door was installed and has been paid for. The motor had to be replaced within the first two weeks which was all warranty work. The video camera installation will be started next week. The proposed Video Surveillance Policy was reviewed. Crawford made a motion to adopt the policy, seconded by Johnson and passed.

The director reported on District 6 Conference in Seymour which six employees attended. A grant for $1600 for the Summer Reading Program was received from the Vevay-Switzerland County Foundation.

The 990 and NP-20 Forms were reviewed. The 990 can be e-filed this year. Johnson made a motion to allow Stephanie Furnish to e-file it, seconded by Williams and passed.

New Business

Youth Services Director, Jaime Beach, wants to paint the tables and chairs in the children’s room. They are from the old library and Shannon wanted to make sure there were no objections to this. There were none. The Annual Book Sale is June 9th-11th and Summer Reading starts June 11th. The library will open at 1:00 pm on June 9th after a staff meeting and book sale set up.

Shannon and Local Historian Barry Brown viewed a webinar about a state Bicentennial project in which a 10’ x 12’ vinyl map will be made for each county. The map will be used for educational purposes in schools, the library, homeschools and other groups. The library is forming a committee of people to decide what goes on the map and the timeline. Denise Crawford will be teaching 4th grade next year and would like to be involved. Others involved are Kathy Daugherty, Helen Parks, Janet Hendricks, Brian Grigsby and Carolyn Miller. The committee also needs to raise approximately $500 to pay for the map and timeline. So far $200 has been committed from the Women’s Giving Circle and the Community Foundation. The library can also provide some of the money.

The library will receive $10,570.29 from the state as a supplemental distribution because there is a positive balance in the county’s trust fund. This money must be deposited into the Rainy Day Fund and a check for it should come from the County Auditor by June 1, 2016.

The library is closed on May 30th for Memorial Day and the director is taking leave on May 20th, 26th, and 27th. With no further business, Williams made a motion to adjourn at 4:15 pm, seconded by Deck and passed. The next meeting will be June 14, 2016 at 3:30 pm at the library.
